WhatsApp Bulk Messaging for Wedding Planners: Why Numbers Get Banned and What Meta Allows

Why wedding planners get banned for WhatsApp blasts to guests, what Meta's rules allow, and how to message a full guest list through the official API.

By Mia ·

Wedding planners lose WhatsApp numbers when guest messages go out from a phone number through a bulk sender, a browser extension that drives WhatsApp Web, or a modified app. WhatsApp's Terms of Service prohibit "bulk messaging, auto-messaging, auto-dialing, and the like" on the regular app, and its systems restrict senders that guests block or report. The approved way to message a whole guest list is the WhatsApp Business Platform: Meta-approved templates, a 24-hour window for free replies, and opt-outs that are honored.

Cordially Wed was built on that platform from day one, so planners can message every guest on WhatsApp without putting their own number on the line. The rules below link to WhatsApp's and Meta's own pages, checked October 14, 2026.

How planners end up banned

The couple sends a spreadsheet of 250 guests, RSVPs are due Friday, and the fastest route looks like a tool that pastes the invitation into 250 chats from the studio's WhatsApp. Three versions of that shortcut cause most of the trouble:

The number that gets banned is usually the one the planner uses for everything else: vendor threads, client chats, the florist on the morning of the wedding. Losing it in wedding week costs far more than the hours the shortcut saved.

Why broadcast lists and groups don't fix it

WhatsApp's own broadcast feature is built for people who already know you. A broadcast list only reaches contacts who saved your number in their address book, and each list holds up to 256 contacts, per WhatsApp's help center. Guests who never saved you get nothing, and you see no error.

A group reaches everyone, but it shows every guest's phone number to every other guest, and one "what time is the Sangeet?" notifies 200 people. Groups work for a small family logistics thread. They are the wrong tool for an invitation or an RSVP chase. For more on wording and timing, see how to send wedding invitations on WhatsApp.

What Meta's rules allow for a guest list

Messaging a full guest list is allowed through the WhatsApp Business Platform, the API Meta runs for businesses. Its Business Messaging Policy sets the terms:

Meta also sorts every template into a category. Utility templates relate to something the person is already part of, such as their RSVP or a schedule change. Marketing templates promote something, and Meta restricts their delivery more tightly. Templates about the guest's own invitation, RSVP, and schedule have the best chance of a utility verdict, but Meta makes the call.

Why planners on Cordially Wed don't worry about bans

Cordially Wed is built to work the way Meta intends business WhatsApp to work, on the official WhatsApp Business Platform with Meta-approved messages. Nothing runs through WhatsApp Web, an extension, or a phone.

Cordially Wed weddings reach guests from India to Italy to the US, and no planner's or couple's own number is ever the sender.

A checklist before you message a guest list

1. Get numbers from the couple in full international format, such as +91 98765 43210.

2. Tell guests on the save the date or invitation that updates will come on WhatsApp.

3. Message each guest one-to-one. Never add the whole list to a group.

4. Keep templates about the guest's event: RSVP, schedule, travel, venue changes. Leave out vendor promotions and discount codes.

5. Answer replies inside 24 hours, while you can still write freely.

6. Stop messaging anyone who asks you to stop.

7. Keep your personal and studio numbers out of bulk sends.

What it costs planners

Creating a wedding in Cordially Wed is free, and so are the guest list, RSVPs, and wedding website. Texting a wedding's guests is a one-time payment sized by unique guest phone numbers: $69 up to 50, $119 up to 100, $169 up to 200, or $249 up to 400, with unlimited messages and no subscription. Above 400 numbers, contact us.

Planner volume pricing applies on its own: your first paid wedding is full price, the 2nd to 5th are 10% off, the 6th to 10th are 20% off, and every wedding after that is 30% off. See Cordially Wed for planners, or compare tools in our wedding texting service comparison.

Frequently asked questions

Why did WhatsApp ban my number after sending wedding invitations?

Usually because the invitations went out in bulk from a regular or WhatsApp Business app account, through an extension or modified app, to many people who hadn't saved the number. WhatsApp's Terms prohibit bulk and automated messaging on the regular service, and blocks and reports lead to restrictions.

Can a wedding planner send WhatsApp messages to 300 guests?

Yes, through the WhatsApp Business Platform with Meta-approved templates, to guests who expect to hear about the wedding, with opt-outs honored. Doing it from a personal number with a bulk sender breaks WhatsApp's Terms.

Is a WhatsApp broadcast list enough for wedding guests?

Only for a small list of people who saved your number. A broadcast reaches only contacts who saved you, up to 256 per list, and guests who didn't save you receive nothing.

What is the WhatsApp 24-hour window?

When a guest messages you, you can reply in your own words for 24 hours. Outside that window, a business can only send a Meta-approved template.

Does Cordially Wed send WhatsApp from my phone?

No. Messages go from Cordially Wed's WhatsApp Business sender through the official API, so your own number is never the sender.

Will my WhatsApp number get banned if I use Cordially Wed?

Your number isn't the one sending. Guest messages go out through Cordially Wed on the official WhatsApp Business Platform with Meta-approved messages, so your personal and studio WhatsApp stay out of it.
